Ambition is welcome to apply within.. About the Role:. We’re looking for an Executive Assistant to partner closely with our C-level leadership team and help drive HavocAI’s mission forward. You’ll be the force that keeps our executives focused on the highest priorities by managing complex schedules, coordinating high-stakes meetings, and ensuring seamless communication across teams and external partners.. Key Responsibilities and Requirements:. Provide high-level administrative support to C-suite executives, managing schedules, meetings, and travel arrangements.. Handle confidential information with the utmost discretion.. Act as a liaison between executives and internal/external stakeholders, ensuring smooth communication.. Coordinate complex calendars and prioritize competing demands.. Schedule, prepare agendas, and organize materials for meetings, including follow-up on action items.. Manage logistics for conferences, events, and speaking engagements.. Arrange domestic and international travel, including flights, accommodations, and ground transportation.. Prepare detailed itineraries and ensure all arrangements align with the executive’s preferences.. Screen and respond to calls and messages on behalf of executives.. Assist in tracking and managing key projects and deadlines.. Qualifications:. Bachelor’s degree or equivalent experience in business administration, communications, or a related field.. 3+ years as an executive assistant to senior executives, preferably in a technology or fast-paced environment.. Exceptional organizational and time management skills.. Strong verbal and written communication abilities.. High proficiency with Microsoft Office Suite and project management tools.. Ability to anticipate needs and prioritize effectively.. Detail-oriented with a focus on accuracy and thoroughness.. Professional demeanor and ability to build relationships with stakeholders at all levels.. Adaptability to handle rapidly changing priorities and work under pressure..
