As . Events Coordinator. , you’ll play a critical role in helping Higharc scale and elevate the way we engage both our team and our customers. You’ll support the Head of Events & Experiences in producing standout internal programs and customer-facing events that build culture, trust, and business growth.. You’ll be hands-on with logistics, communications, and program coordination, enabling strategic execution of events that range from immersive customer trainings and pipeline-driving sales activations to team offsites, milestone celebrations, and company-wide moments of connection.. Key Responsibilities. Event & Experience Execution. Coordinate logistics for internal and external events, including scheduling, travel, venues, vendors, supplies, and run-of-show documentation. Provide on-site and virtual support for live events when needed (e.g., customer trainings, internal meetups, sales activations). Source, vet, and liaise with vendors for gifting, catering, A/V, decor, and experiential activations. Track tasks, timelines, and dependencies across multiple concurrent programs. Communications & Engagement. Draft and manage pre-event communications, RSVPs, reminders, and post-event follow-ups. Support creation of internal and external promotional materials (e.g., invites, agendas, decks, signage, swag). Help maintain and evolve our brand voice across experience touchpoints. Project Support & Operations. Assist in developing and maintaining templates, checklists, and repeatable processes. Own documentation and resource organization to ensure team efficiency. Support budget tracking, receipts, and vendor contracts in collaboration with the Director of Events. Capture event insights and support post-mortem reviews and improvement loops. About You. 3-5 years of experience in event coordination, employee experience, experiential marketing, or project coordination roles. Highly organized with strong attention to detail and follow-through. Comfortable managing multiple timelines and shifting priorities in a fast-paced environment. Excellent communicator and natural collaborator. Creative thinker who enjoys crafting moments that feel thoughtful and memorable. Familiar with tools like Notion, Google Workspace, Airtable, or similar. Comfortable working remotely and asynchronously with a distributed team.
