As Patient Operations Coordinator, you are the connective tissue that keeps the entire care model running — making sure no patient slips through the cracks and no advocate gets stuck waiting on a stray task.. About the Role. This is a true jack-of-all-trades role at the heart of how Careway delivers care. No two days will look the same. . One hour you might be calmly walking a frustrated 78-year-old through her insurance change; the next you might be routing incoming faxes to patient charts, then jumping into our help channel to answer a physician's rescheduling question, then calling a payor on behalf of our billing team. You will be on the phone, on text, in email, and in our internal channels all day — reaching out to patients who haven't confirmed their appointments, recovering no-shows, helping advocates unblock whatever's in their way, and picking up whatever else needs to be picked up.. Recover and prevent no-shows.. Call, text, and email patients ahead of their initial physician appointment to confirm. When patients miss appointments, win them back with warmth and persistence — most are reachable if someone genuinely tries.. Keep patient communication moving.. Monitor SMS threads across the platform and follow up with advocates when patients haven't heard back. Reach out to non-responsive active patients to re-engage them and keep their care plans on track.. Run the operational backbone.. Assign incoming faxes to the right patient charts. Follow up on appointments not marked complete within an hour — review the transcript or escalate to the advocate to confirm the visit happened. Monitor internal help channels and resolve admin questions from advocates and physicians.. Support insurance and billing operations.. Call patients to gather additional insurance verification. Handle insurance changes as they come in. Assist our biller with payor follow-ups, claim status checks, and other logistical loose ends.. Onboard new patients.. Take questions from people signing up online, help referred patients through their first steps, and make sure every new patient has a smooth path into the program.. Make Careway better..
