We specialize in center-based Applied Behavior Analysis (ABA) therapy for children ages 1–6, using Naturalistic Developmental Behavioral Interventions (NDBI) rooted in play, relationships, and evidence-based care. Role Overview. We're seeking a proactive and detail-oriented Scheduler to join our team and support the day-to-day creation, maintenance, and adjustment of therapy schedules across ANNA’s clinics. You’ll play a critical role in matching clients with the right therapists, responding quickly to last-minute changes, and ensuring every child’s care hours are met while maximizing staff productivity and compliance with payor requirements.. This is a fully remote position based in the Philippines. The role requires full-time availability during U.S. Eastern Time hours, specifically 5:00 AM – 1:00 PM EST, which is 5:00 PM – 1:00 AM Philippines Time.. Key Responsibilities. Build and Maintain Schedules. Set weekly therapy schedules for behavior technicians (RBTs) and supervising BCBAs based on client authorizations, staff availability, and clinical needs. Update schedules in our scheduling system (e.g., AlohaABA or similar) and ensure visibility for all stakeholders. Respond to Changes. Proactively address cancellations, staff call-outs, new client enrollments, and time-off requests. Identify and implement same-day or next-day coverage solutions to minimize service disruptions. Coordinate with Teams. Communicate effectively with clinical leadership, RBTs, and intake staff to understand needs, constraints, and upcoming changes. Support onboarding schedules for new staff and new clients to ensure smooth ramp-up. Track and Optimize. Monitor weekly therapist utilization and client service delivery goals. Flag inconsistencies or gaps in scheduling and suggest improvements. Ensure compliance with each client’s authorized hours and state/regulatory requirements. Documentation and Reporting. Maintain accurate records of scheduling adjustments and reasons for changes. Support reports for leadership on staff utilization, missed hours, and trends. Qualifications. Prior experience in scheduling, staffing coordination, or healthcare operations (especially ABA or allied health) preferred. Strong English communication skills, both written and verbal. Exceptional attention to detail and ability to manage shifting priorities quickly. Proficient with scheduling software, spreadsheets (Google Sheets/Excel), and time zone coordination.
