As the Executive Assistant to the CEO, you will play a pivotal role in ensuring the smooth operation of the CEO’s day-to-day activities. Acting as a trusted partner, you will provide high-level support, anticipate needs, and create space for the CEO to focus on strategic priorities. This role requires a proactive, detail-oriented individual with exceptional organisational and communication skills, solid business acumen, and the ability to thrive in a fast-paced environment. By managing schedules, handling communications, and driving efficiency across the agency. While the CEO is your primary focus, you may also provide occasional support to other C-Suite Executives.. . Main day-to-day responsibilities will include, but not limited to:. . Executive & Operational Support. . . Manage the CEO’s complex schedule, prioritising meetings across multiple time zones and adapting to changes as needed. . Prepare briefing materials, reports, and presentations for internal and external engagements. . Ensure the CEO is well-prepared for meetings and speaking engagements by gathering relevant information, creating agendas, and summarising key points. . Filter incoming communications, responding where appropriate, redirecting as needed, and tracking follow-ups. . Coordinate travel arrangements, ensuring seamless execution of flights, accommodation, visas, and. . itineraries. . Process expenses and monitor budgets, ensuring compliance with financial policies. . Follow up on meeting actions and ensure tasks are defined and managed. . Handle routine administrative tasks to allow the CEO to focus on high-level strategic activities. . . Strategic & Project Management. . . Support key business initiatives by tracking priorities, follow-ups, and progress updates. . Assist in translating the CEO’s vision into actionable plans, monitoring execution, and providing. . updates. . Facilitate cross-functional collaboration across departments. . Support ad hoc CEO projects, ensuring timely delivery against KPIs and budgets. . Lead the organisation of Board Meetings, quarterly all-agency meetings, and leadership offsites, including agenda planning and logistics. . Ensure smooth coordination and preparation for the CEO’s involvement in industry events. . . Communication & Stakeholder Management. . . Act as a bridge between the CEO and internal/external stakeholders, ensuring smooth and consistent. . Communication. . Draft internal and external communications, including emails and announcements. . Help manage relationships with key stakeholders, including board members, suppliers, and partners, ensuring objectives are met. . Ensure the CEO is prepared for external speaking opportunities and engagements. . . Reporting & Problem-Solving. . . Prepare & maintain comprehensive reports, dashboards, and presentations for the CEO and executive team. . Identify and resolve operational issues before they escalate. . Support cross-functional teams in addressing business challenges. . . Leadership & Culture. . . Lead special projects or initiatives as an extension of the CEO’s leadership. . Help foster and maintain a positive culture by ensuring that the CEO’s values and vision are communicated and role-modelled across the organisation. . Plan and execute internal team events such as Board meetings, Headliner sessions, and leadership offsites, collaborating with relevant teams. . Help navigate and manage unexpected challenges in the fast-paced business environment. . . Desired Skills & Experiences. . . Proven experience as an Executive Assistant, ideally supporting C-suite executives in a fast-paced environment. . Strong organisational and time-management skills, with the ability to manage multiple priorities under. . pressure. . Excellent written and verbal communication skills, with a keen eye for detail. . Ability to handle sensitive information with discretion, integrity, and professionalism. . Strong problem-solving skills and a proactive approach to anticipating needs and resolving issues. . High proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) and other relevant tools. . Experience in event coordination, travel management, and board level administration. . Ability to build strong relationships across all levels of the business, fostering collaboration and trust. . . You need to have the ability & willingness to work flexibly, usually in the London office, with occasional UK. travel, on-site at events and some weekend work..
