The Property Administrator is responsible for supporting a team that manages one or more assets to provide client deliverables and customer service to building tenants to help maintain and increase the value of the asset.. . Essential Duties and Responsibilities:. . . Assist the team with various administrative tasks including but not limited to answering phones, communicating with tenants, maintaining paper and electronic files, and maintaining insurance certificates.. . Process and code invoices for payment using various company or client systems; assist in preparing accurate tenant billings; prepare and deliver timely, accurate, and complete reports to Property Manager(s).. . Assist Property Manager(s) with administrative needs related to budget preparation and submission including monthly reports and budget packages.. . Assist in data collection and/or drafting tenant rent and Common Area Maintenance (CAM) reconciliations or Escalation (OpX) recovery charges; assist with administrative needs related to preparing and submitting CAM.. . Assist with lease administration activities including lease set ups, lease changes, reporting, etc. using various company or client systems.. . Assist in coordinating tenant move-ins and move-outs, and "walk-through" spaces with Property Manager(s), tenants, and tenant improvement department; maintain vacant spaces in "tour ready" condition.. . Respond to tenant needs, ensuring that administrative and building technical staff resolve problems promptly; partner with engineers and vendors to track and record completion of building maintenance activities in relevant software as required by client or Lincoln.. . Coordinate contract documents, purchase orders, and other documents related to procuring goods and services at the property; assist in coordinating vendor deliveries and property services.. . Assist with developing plans and preparing for emergency response using company or client formats; ensure resources, supplies, and backups are in place to effectively recover from adverse events; assist in organizing drills and other training.. . Contribute through thoughtful and proactive execution of clearly defined duties, methods, and tasks; contribute to team performance through suggestions to improve systems, processes, and procedures.. . Perform other duties as assigned.. . . Qualifications. :. . . High School Diploma/GED required; Bachelor’s Degree (BA/BS) preferred. . At least 2 years of job-related experience. . Intermediate skills with Microsoft Office Suite required. . Ability to communicate verbally and in writing with teammates, leadership team, vendors, tenants, and client employees in a straightforward, professional manner, keeping the appropriate customer(s) informed/updated as needed. . Knowledge of financial terms and principles; ability to calculate figures such as percentages, discounts, markups, and/or commissions. . Strong organizational skills with an inquisitive and entrepreneurial mindset. . Proven track record for delivering excellent internal and external customer service; ability to successfully interact/communicate with tenants/vendors/contractors as well as teammates and leadership team. . Ability to travel daily to assigned properties as necessary. . Ability to work after hours, weekends, holidays, and during emergency situations as necessary to meet the needs of the client. . Ability to read and write English in order to understand manuals and procedures, and to write reports. . . Physical Requirements:. . Ability to sit/stand/walk for long periods of time; manual dexterity to operate a computer keyboard, phone, and other office equipment; eyesight that allows for reading a computer screen, phone screen, reports, etc.; hearing that allows for hearing/understanding spoken words; lifting and carrying up to 20 lbs.  NOTE: Some, but not all, of our positions may have an additional requirement to comply with COVID-19 health and safety protocols, including COVID-19 vaccination proof and/or rigorous testing.. .  . .
