What We Need. This role exists to bring flawless execution, accountability, and operational discipline to our client delivery engine — and to own the change management process required to get there.. We’re hiring a Project Manager to own the execution management layer of client growth plans — ensuring timelines are met, tasks are tracked, resources are coordinated, and nothing falls through the cracks. You’ll work directly with Growth Strategists to translate their strategic plans into actionable workflows, and you’ll hold the team accountable for timely delivery.. ClickUp is the backbone of our project management operation.. Advanced ClickUp proficiency is critical to success in this role, including the ability to configure automations, dependencies, and reporting.. We need an 8/9/10-level ClickUp operator — this will be tested before you advance in our hiring process.. But this is not “just” a system role. You’ll use ClickUp to coordinate people, processes, and deliverables across all client accounts and for non-client related projects like company strategic objectives, business development, and internal training efforts.. This is also a change management role.. You’ll be stepping into an existing ClickUp system that needs to be audited, standardised, and enforced. The team has established working habits — some aligned with the system, some not. Your job is to establish how the system works, drive adoption, and hold the line when team members push back. This is not a facilitation role. You don’t ask the team how they want to work — you determine the best system configuration and lead the team through the transition.. This is a hands-on coordination, accountability, and systems leadership role — not a strategy or client relationship role. Project Planning & Coordination (Core Responsibility). Translate strategic growth plans (from Growth Strategists) into detailed project schedules, deliverables, and task assignments in ClickUp. In partnership with the Account Manager, lead planning sessions to align execution team members (internal + Outside Resources) around scope, deadlines, and ownership. Maintain absolute clarity on “who does what, by when” across all accounts. Work with strategists on Stage 1–2 internal/strategic work; support Account Manager on Stage 3–5 execution. 2. Team Accountability & Deadline Enforcement. Communicate overdue tasks in team meetings — this is a core expectation. Deliver proactive deadline reminders by means of automated system reminders and a high level of accountability during team meetings. Monitor task completion and flag risks before they become problems. Establish and enforce a process for due date adjustments. Create simple visibility for the team to ensure projects are delivered on time. 3. Change Management & System Standardization. Audit the existing ClickUp workspace — identify inconsistencies in template usage, workflow compliance, and system adoption across all accounts. Enforce one standardized template structure across all client work — legacy setups and parallel systems get retired, not accommodated. Lead bi-weekly change management review sessions (dedicated meetings, not embedded in existing meetings) to drive system adoption and address non-compliance. Proactively identify system non-compliance — overdue tasks without updates, missing fields, skipped process steps — and surface findings to the team and leadership, even when no one has reported an issue. While the team surfaces items that need attention, you conduct  independent reviews of workflows and system usage to identify gaps, inconsistencies, and improvement opportunities to bring into the change management agenda.. Establish and implement the standardized ClickUp configuration for the team, ensuring consistent workflows, templates, and system usage across all client work.. Document all changes, train the team on updated workflows, and ensure compliance is tracked and visible. 4. Execution & Workflow Management. Lead weekly execution meetings and ensure progress updates are documented. Monitor timelines, task completion, and workload balance across the team. Serve as the central coordination hub for all deliverables. Manage Outside Resource (OR) assignments, timelines, and feedback loops. 5. ClickUp System Configuration. Build and maintain standardised templates for all client work. Configure automations, dependencies, and alerts so the system manages the team. Ensure every task includes clear instructions and context. Implement QA checkpoints (gates) in all workflows. Create dashboards for real-time visibility into project health, capacity, profitability, etc.. 6. Resource & Budget Oversight. In partnership with the client teams, ensure project budgets and scopes are adhered to. Escalate risks to Growth Strategist/CEO when necessary. Track time/cost allocations in coordination with Account Support and Operations. Critical Success Factors. Project coordination is the foundation. — You own the rhythm of execution across all accounts.. System standardization is non-negotiable. — One template structure, one way of working. No exceptions for legacy accounts or team preferences.. Change management is a core function. — You don’t just build the system; you drive adoption. When the team resists, you apply constructive pressure, retrain, and escalate if needed.. Performance accountability. — You create clarity around commitments, raise risks early, and guide the team toward solutions when timelines are at risk.. Proactive auditing. — You check the dashboards before anyone asks. If something is overdue, non-compliant, or missing, you surface it — you don’t wait for the team to self-report.. Systematic automation. — Minimise manual work through smart ClickUp configuration and automation.. Independent execution. — Carry the confidence to drive accountability without constant oversight.. Required Experience. Must-Have:. 5+ years project management experience in agency, consulting, or professional services environment. Advanced ClickUp proficiency including automations, dependencies, templates, and reporting (will be tested). Demonstrated experience with change management — specifically, walking into an existing system and driving standardization and adoption against team resistance. B2B services background coordinating deliverables across internal teams and contractors. Excellent written communication. Self-directed execution with process-oriented mindset. US Central timezone availability (6:00 AM – 2:00 PM CST). Strongly Preferred:. Experience auditing and restructuring an existing ClickUp workspace (not just building from scratch). Experience leading change management in a small team environment where relationships matter but standards can’t be compromised. Comfort with being the person who enforces the system — not the person who asks permission. What Success Looks Like. All client templates standardised — consistent structure across all accounts, zero parallel systems. 95% or above task compliance — tasks updated on time, clear ownership assigned. Change management sessions running on cadence — bi-weekly in months 1–2, monthly from month 3. Team members self-maintaining the system — updating tasks, flagging issues, and following templates without being chased in meetings.
