Position Summary The IP Specialist provides support with data management, data audit projects, processing and docketing incoming and outgoing communications related to patent and trademark matters. This includes reviewing, downloading, scanning and coding documents according to established policies and procedures. The position is also responsible for assisting with projects related to the inbound and outbound transfers of clients/records. Job Duties and Responsibilities Proficient with Adobe Acrobat, Microsoft Word and Excel. Reviews, processes and dockets incoming and outgoing communications for patent and trademark matters. Utilizes computerized records management software programs and updates systems to reflect up-to-date data. Supports the Intellectual Property practice group with data audit projects in Digital File, PATTSYWAVE, and PracticeLink systems to ensure the information aligns. Supports projects relating to the incoming and outgoing transfer of client documents and/or files and matters. Assists with IP client portal set up and maintenance. Creates docket reports, data extracts, and other types of digital records reports upon request. Utilizes computerized records management software programs and updates necessary systems to reflect up-to-date data. Assists the docketing manager with software implementation projects with a focus on data auditing. Responds to requests from various internal personnel. Regular, consistent attendance is essential. Experience: General office skills required. Prior service environment experience, general law firm experience, or experience in Intellectual Property field a plus. Skills: Keen attention to detail. Excellent interpersonal and communication skills are required in order to communicate and work with a diverse group of attorneys and staff via telephone, e-mail, and in person. Advanced knowledge of software programs and hardware used to perform processing tasks. Professional demeanor, high-quality work standards, and the ability to prioritize and perform effectively under pressure. Ability to change and adapt to current and future responsibilities and circumstances. Ability to work well within a team-oriented environment and contribute to effective team relationships. Ability to identify issues and proactively work to solve them or escalate as necessary. Ability to deal with stress associated with fast-paced work environment. Ability to handle multiple tasks on a daily basis and complete assignments within set timelines. Ability to use independent judgment and discretion and adapt to changing work situations Ability to grasp and apply new ideas. Ability to communicate effectively, orally and in writing, with various personalities at all levels. Ability to work long days as required. Working Conditions: Works in typical office setting and/or remotely. Occasionally called upon to work hours in excess of your normal daily schedule. Pay Ranges: This represents the presently-anticipated low and high end of Reed Smith's pay range for this position. Actual pay may vary based on various factors, including but not limited to location and experience. Example (Edit before publishing) This is a non-exempt position. The hourly wage range for this role is: Pittsburgh & Houston: $27.50 - $33.65 Philadelphia: $29.50 - $40.50 Washington, DC: $31.50 - $43.25 The estimated annual compensation range of what is below based on expected hours.
