We are seeking a reliable, proactive, and detail-oriented Healthcare Administrative & Intake Virtual Assistant to support a U.S.-based pediatric healthcare practice that is currently rebuilding and scaling its operations. This role is critical in helping establish organized, consistent systems for patient intake, scheduling, communication, and light social media management.. The ideal candidate is comfortable working independently, enjoys building workflows, and communicates warmly and professionally with patients and families. SimplePractice EMR will serve as the main operational hub, and you will play a key role in ensuring a smooth, positive patient experience from first inquiry through appointment completion.. Scope of Work & Responsibilities. Appointment scheduling support and patient reminders (via SimplePractice) . Patient records and intake management, including creating patient profiles and sending, collecting, and tracking intake forms . Handling patient inquiries and correspondence via email and website form responses & follow-ups and waitlist outreach . Inbox and message management, including sorting, prioritizing, and responding using templates . Managing waitlist communications and patient outreach . Website and intake support, including monitoring intake form submissions and ensuring links, forms, and intake flows function properly within the EMR . Social media management, including posting a few times per week and monitoring/responding to DMs, comments, and mentions . Basic billing support, including payment tracking, follow-ups, and supporting prepaid flow setup . Light insurance verification and prior authorization support (secondary priority, if time allows) . Document organization and simple tracking systems, including spreadsheets, checklists, and intake workflow trackers . Top 3 Priorities. SimplePractice intake workflow and client flow management, including forms, intake steps, scheduling, and payment flow setup. Patient inquiry and inbox management, including timely responses, waitlist follow-ups, and use of communication templates. Basic social media presence, including consistent posting a few times per week and monitoring engagement. Success Metrics. Intake and scheduling workflows are organized and consistent in SimplePractice. Patient inquiries are answered promptly and professionally. Intake forms are sent, completed, and tracked accurately. Prepayment and payment steps are followed consistently prior to appointments. Improved patient feedback regarding administrative communication. Consistent social media activity and engagement monitoring. Experience Requirements. Medical education or degree: Not required. Previous virtual assistant experience: Preferred. Medical license (doctor, nurse, PT, etc.): Not required. Skills & Tools. SimplePractice EMR experience required, including intake workflows, scheduling, and payments . Comfortable using WhatsApp for daily communication . Familiarity with social media platforms including Instagram, Facebook, YouTube, and TikTok for basic posting and monitoring . Proficient with Google Workspace (Docs, Sheets, Drive) for tracking and organization . Strong healthcare or administrative background preferred . Familiarity with EMRs and medical terminology is a plus . Experience with intake workflows, scheduling, payment reminders, and basic insurance verification is an advantage . Comfortable learning new systems and troubleshooting using tutorials and available resources . Basic requirements. Must be proficient in speaking and writing English very clearly. Relevant work experience in healthcare administration, intake, or virtual support. Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]. Must be available for video meetings with your camera on (when needed). Self-starter mindset with the ability to problem-solve independently and work without constant micromanagement.
