We are seeking a proactive, detail-oriented Executive Assistant (EA) to support the CEO and leadership team in driving marketing campaigns, keeping operations streamlined, and ensuring projects move forward with clarity and speed.. This role also includes oversight of finance and operations processes — including invoicing, purchase orders, and supply chain coordination — to ensure financial accuracy and operational efficiency across teams.. Key Responsibilities:. Support execution of high-visibility marketing campaigns (e.g., GMA/TV shows) by coordinating with fulfillment, marketing, and external reps. . Organize and maintain company resources across Google Drive, Notion, and shared systems to ensure easy access and cleanliness. . Follow the CEO on all key email threads: draft responses, manage follow-ups, and proactively ensure communication is clear and timely. . Assist in project management: track deliverables, ensure deadlines are met, and simplify complex workflows. . Manage finance-related workflows, including tracking invoices, POs, and vendor payments; reconciling expenses; and maintaining accurate documentation in coordination with accounting and operations teams. . Coordinate with suppliers, fulfillment partners, and logistics providers to track shipments, resolve issues, and maintain up-to-date supply chain data. . Prepare concise updates, reports, and summaries to keep leadership aligned and informed. . Coordinate with vendors, agencies, and internal team members to keep initiatives on track. . Identify inefficiencies in processes and propose improvements to enhance productivity. . Proven experience as an Executive Assistant, Operations Coordinator, or similar role in a fast-paced environment. . Exceptional organizational skills with the ability to manage multiple priorities and maintain clean systems. . Strong written and verbal communication skills, with the ability to draft professional correspondence. . Proficiency with productivity tools such as Google Workspace, Notion, Slack, and project management platforms. . Hands-on experience with invoicing systems, purchase orders, and vendor payment tracking is strongly preferred. . Familiarity with supply chain or logistics coordination (e.g., shipment tracking, order fulfillment, vendor communication) is a plus. . High level of discretion, integrity, and professionalism when handling sensitive information. . Proactive problem-solver who anticipates needs and takes initiative without being asked. .
