Manage the CEO’s calendar, prioritizing meetings, travel, and deadlines and support across the Media business. Prepare for meetings — gather materials, draft briefs, take notes, and follow up on action items.. Handle correspondence, including emails and internal/external communication.. Support with personal administrative tasks as needed to enable full focus on company priorities.. Support making influencer travel bookings. Marketing Management. Help support growing the CEO’s and Media’s brand presence on social media. Ability to write thoughtful LinkedIn posts that do not sound like they’re written with ChatGPT. Strong video editing skills and love for social media to edit the CEO’s social media videos and handle the posting on their social media channels. Proven experience with copywriting. Finance & Bookkeeping. Manage invoices, receipts, and expense tracking in coordination with our bookkeeper at Media. Oversee sending of client contracts. Ensure timely submission of expense claims.. Operations & Projects. Assist with the coordination of team meetings, presentations, and events.. Manage the tracking of vacation or sick leave across the business. Help manage strategic projects across different departments — ensuring deadlines are met.. Work closely with senior leaders to streamline workflows and optimize systems.. Support with recruitment coordination, onboarding, and team engagement initiatives.. Communications & Documents. Draft and proofread presentations, and proposals.. Maintain confidentiality and handle sensitive information with discretion.. Liaise with key partners, clients, and stakeholders professionally and efficiently.. Tools to Use:. Monday.com. Who You Are:. 5+ years’ experience as an Executive Assistant, with proven experience supporting a Founder or CEO. (Can consider less than 5 years for exceptional candidate.). Has experience working in a marketing company, creative agency, media company or a close related industry.. Must have video editing skills using tools such as CapCut, InShot, Premiere Pro, or similar software.. Must have prior experience in an international company.. Excellent written and verbal communication skills.. Highly organised, proactive, and detail-oriented with strong follow-through.. Tech-savvy. Very comfortable with Monday.com Google Workspace, and Microsoft Office. Able to juggle multiple priorities with calm and confidence..
