Overall purpose and responsibilities of the role:. The company is looking to hire an accountant in the Philippines to report directly to the Finance Director to help manage the entire finance, accounting, and payroll administration aspects of a dynamic and rapidly growing coffee business located in Houston, Texas, USA.. The company comprises a retail business, a wholesale business, and a coffee equipment servicing business. The retail business serves retail customers from its own original flagship café, a second Downtown CBD café, and a few other 3rd party cafes under management contracts.. The wholesale business operates a roastery which supplies roasted coffee beans to a range of wholesale customers. The coffee equipment servicing business provides repair & maintenance services to other cafes. . Duties and Responsibilities:. The successful candidate for this job will work across the entire group of businesses.. . Oversee all financial transactions, such as bank reconciliations, and manage the accounts payables and accounts receivable processes.. . Routine bookkeeping includes maintenance of the general ledger and safeguard the accuracy of the general ledger and reconciliation of accounts. Do journal entries, period-end adjustments, prepare balance sheets, and monthly financial reports. . Accounts Receivable (AR). . o Generate customer invoices from Xero as required. . o Perform debtor accounts reconciliations. . o Active management of accounts receivable by communicating directly with customers to collect overdue payments.. . o Provide a weekly AR report to the Finance Director. . o Any other AR-related work. . Accounts payables (AP). . o Publish supplier invoices from Hubdoc – ensure that expenses are coded to the correct accounts and tax is correctly applied. . o Reconcile transactions in Xero. . o Perform monthly bank reconciliations. . o Any other AP-related work. . Prepare monthly sales tax report for sales tax payment to Texas Comptroller. . Prepare, update, and summarize financial reports on a monthly basis. . Forecast, update, and develop annual budget. . Monthly reconciliation of all accounts. . Cost accounting projects to track costs across a range of activities to maximise cost savings and improve operational efficiencies. . Prepare Monthly Reports for management. . Prepare Quarterly Reports for investor distribution. . Payroll – prepare and/or review payroll worksheets every fortnight, ensure payroll accuracy and timeliness to resolve any timesheet discrepancies and issues. . Maintain, track and calculate sales commissions. . Perform cost tracking to ensure all financial data is inputted accurately and classified by project and cost description in spreadsheets and Xero. . Prepare annual financial statements for tax preparations. . Ad hoc projects and general administrative duties as required by Finance Director. . Job Type: . Full Time Permanent. Schedule: .
