In this role, you will provide high-impact administrative, operational, and coordination support to senior leaders including the . VP of Regulatory Affairs, General Counsel, Controller, and Director of Operations. . You’ll play a critical role in enabling these leaders to stay focused on strategic priorities by anticipating needs, managing complex logistics, and ensuring smooth day-to-day operations.. This role goes beyond traditional administrative support. As a trusted partner and core member of the People function, the ABP contributes directly to organizational effectiveness by supporting cross-functional initiatives, improving workflows, and serving as a professional, reliable representative of the team. You’ll operate at the intersection of executive support, operations, and people-focused initiatives, helping Elementl Power scale effectively while maintaining a strong internal culture.. Collaboration is central to this role. Reporting into the People team, you’ll work closely with senior leadership, the Executive Business Partner, the Project Management Office, and cross-functional partners to ensure seamless coordination, strong communication, and consistent execution across the organization.. What You'll Do:. Calendar & Time Management. Manage and maintain complex calendars for senior leaders, including scheduling meetings and resolving conflicts. . Anticipate needs by preparing agendas, background materials, and relevant documentation. . Optimize leaders’ time for efficiency, focus, and follow-through. . Meeting & Event Logistics. Support planning and execution of company events such as investor days, staff gatherings, offsites, and community engagements. . Manage logistics including invitations, vendor coordination, materials preparation, and on-site execution. . Travel Coordination & Expense Support. Plan, coordinate, and manage domestic travel for senior leaders, including flights, accommodations, ground transportation, itineraries, and schedule alignment. . Anticipate travel needs and proactively adjust plans based on changes or emerging priorities. . Prepare and process expense reports promptly and ensure adherence to company policies. . Executive Business Partner & PMO Overflow Support. Provide overflow administrative support to the Executive Business Partner (EBP) and Project Management Office (PMO) Coordinator during periods of high demand. . Collaborate closely with EBP and PMO to ensure strong alignment, communication, and continuity of support. . Project & Initiative Support. Provide administrative support for small-scale projects and initiatives, including tracking deliverables and coordinating timelines. . Draft internal communications, prepare presentation materials, and support information flow across teams. . Maintain shared resources, project trackers, and documentation. . Stakeholder & Communication Management. Interact professionally with internal staff, external partners, vendors, and stakeholders. . Manage inbound requests with tact, clarity, and urgency, escalating issues as appropriate. . Support senior leaders by ensuring clear communication and timely follow-up. . Operational Improvement & Workflow Efficiency. Identify opportunities to improve administrative processes and team workflows. . Develop simple SOPs, checklists, templates, and organizational systems to increase efficiency. . Maintain organized filing systems and shared drives. . Team Coordination & Culture Support. Work closely with other operations staff to provide cohesive support across the organization. . Serve as a culture ambassador by supporting team engagement efforts and ensuring a positive internal experience. . People Team Support. Assist with new employee onboarding, including scheduling, preparing materials, and coordinating meet-and-greets. . Support recruiting efforts through interview scheduling, candidate communication, and maintaining applicant tracking processes.. Experience You Bring. 5+ years of experience in an administrative, executive support, operations, or business partner role, preferably supporting multiple senior leaders. . Proven ability to manage complex calendars, travel, and logistics in a fast-paced, evolving environment. . Strong organizational skills with exceptional attention to detail and follow-through. . Excellent communication and interpersonal skills; comfortable interacting with senior leadership and external stakeholders. . Demonstrated ability to anticipate needs, exercise sound judgment, and manage competing priorities. . Experience supporting projects, improving processes, or developing operational systems and workflows. . High level of professionalism, discretion, and confidentiality. . Proficiency with common productivity tools (e.g., Google Workspace, Microsoft Office, scheduling platforms, expense systems). . Experience supporting People/HR, recruiting, or onboarding processes is a plus. . Experience in energy, infrastructure, technology, or other highly regulated industries is a plus. .
