We are seeking a proactive, organized, and tech-savvy Executive Assistant to support a busy executive and help streamline operations, particularly focusing on CRM (Hubspot) management and administrative tasks. As a trusted right hand, you will play a critical role in enabling the executive to focus on high-impact, revenue-generating activities.. Key Responsibilities:. 1. CRM Management (Hubspot):. . Update and maintain CRM records regularly. . Track client interactions, deals, and client progress. . Generate reports and dashboards for key metrics. . Assist with lead follow-up processes and automations. . 2. Administrative Support:. . Manage calendars, schedule meetings, and coordinate appointments. . Handle email correspondence and task prioritization. . Prepare documents, presentations, and meeting notes. . Maintain digital filing systems and shared documentation. . 3. Project Coordination:. . Track progress on ongoing initiatives. . Assist in aligning deadlines, responsibilities, and deliverables. . Follow up with team members or stakeholders as needed. . 4. Operational Efficiency:. . Identify opportunities to streamline recurring tasks. . Set up or improve systems and workflows for productivity. . Take ownership of tasks that free up the executive’s time. . 5. Additional tasks. . Conduct basic market research as directed. . Assist with basic graphic editing (e.g., Canva). . Support basic video editing tasks (e.d., iMovie or equivalent. . . At least 2 years of experience as an Executive Assistant or in a similar administrative role. . Experience in Australian Real Estate is highly valued. . Excellent written and verbal communication skills. . Proficiency with cloud-based tools, such as Google Workspace and Microsoft SharePoint, and CRMs (HubSpot). . Tech-savvy mindset with interest or experience in automation and AI tools. . Strong attention to detail and organizational skills. . Discretion and professionalism handling sensitive information. .
