We are seeking a detail-oriented and proactive Accounts & Procurement Coordinator to support our finance and operations team. The ideal candidate will play a pivotal role in ensuring accurate financial record-keeping, effective procurement processes, and timely coordination of orders across local and offshore vendors. This position demands a high level of proficiency in the Xero Accounting System, MS Office tools, and solid experience in purchasing and logistics coordination.. Key Responsibilities:. Accounting & Financial Administration:. . Maintain accurate and up-to-date financial records using the Xero Accounting System. . Reconcile accounts payable/receivable and bank statements. . Support invoicing, payments, and general ledger entries. . Assist in preparing financial reports and month-end closing tasks. . Liaise with internal stakeholders and external accountants for audit or compliance requirements. . Procurement & Purchasing:. . Raise, track, and manage purchase orders (POs) in a timely and accurate manner. . Source suppliers and obtain competitive quotations as needed. . Maintain a database of approved vendors and pricing agreements. . Ensure POs and supplier invoices are coded and filed correctly for accounting. . Logistics & Coordination:. . Coordinate offshore and local factory orders, including scheduling, documentation, and follow-ups. . Monitor order status to ensure on-time delivery and resolve any supply chain issues. . Communicate with shipping/logistics partners to track and manage incoming shipments. . Work closely with internal teams to forecast and manage inventory levels effectively. . Administrative & Operational Support:. . Create and manage reports and procurement documentation using Microsoft Office (Excel, Word, Outlook). . Develop and maintain process documentation for purchasing and accounts-related procedures. . Provide support to cross-functional teams on procurement and financial tasks as needed.. . Required Skills and Qualifications:. . Proven experience in an Accounts and/or Procurement Coordination role (minimum 2–3 years preferred). . A strong working knowledge of the Xero Accounting System is essential. . High proficiency in Microsoft Office products, especially Excel and Outlook. . Demonstrated experience in raising/placing purchase orders and coordinating vendor communications. . Hands-on experience managing offshore and local factory orders and shipping logistics. .
