The Sales Administrative Coordinator provides dedicated administrative and operational support to the AVP, Sales while also supporting the broader sales function as needed. This role plays a key part in managing high-volume communications, maintaining accurate sales data, and coordinating internal information flow so the sales team can remain focused on revenue-generating activities. . . The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. . Duties / Responsibilities: . Email and Communication Management . • Monitor and triage high-volume inbox traffic for the AVP, Sales . • Identify and elevate items requiring direct attention . • Draft and route routine responses as appropriate . • Help reduce administrative email burden during peak event cycles . Internal Coordination . • Facilitate information flow between the AVP, Sales and internal teams including Finance, Production, and Operations . • Provide requested project information to internal stakeholders such as contracts, estimates, and updates . • Track follow-ups and ensure timely responses . • Support general administrative needs tied to active sales projects . CRM and Data Management . • Maintain and update CRM and future ERP systems . • Support entry of client and contact information . • Assist with sales forecasting updates and pipeline hygiene . • Generate basic sales and activity reports as requested . Administrative Support . • Assist in the preparation and organization of sales-related documents . • Maintain organized digital files and records . • Support scheduling and light calendar coordination as needed . • Assist with post-project documentation and notes . Process Support . • Help maintain consistency in sales processes and documentation . • Identify opportunities to improve administrative workflows . • Support future ERP-related data initiatives . Required Skills / Abilities: . • Exceptional organizational and time management skills . • Strong attention to detail and accuracy . • Ability to manage high email volume and prioritize effectively . • Strong written and verbal communication skills . • High level of discretion and professionalism . • Self-starter who can work independently . • Proficiency in Microsoft Office, especially Excel . • Experience with CRM and/or ERP systems preferred . • Comfortable working in a fast-paced, deadline-driven environment . Education and Experience: . • 3 to 5 years of experience in sales support, administrative coordination, or similar role . • Experience directly supporting a sales leader or sales organization strongly preferred . • Bachelor’s degree preferred but not required .
