This role is essential to managing patient communication, scheduling, and overall organization, allowing providers to focus on delivering exceptional care.. Scope of Work & Responsibilities. You will be responsible for supporting the practice in all administrative areas except billing, which is handled by an external billing company.. Core Responsibilities Include:. Answering incoming patient phone calls professionally and promptly. Scheduling patient appointments and managing calendars efficiently. Managing and organizing the provider’s calendar. Sending a detailed schedule every night for the following day. Tracking active patients and auditing charts, including time since last visit. Handling prior authorizations and insurance eligibility checks. Communicating and coordinating with the billing team (no billing tasks required). Maintaining accurate records and ensuring nothing falls through the cracks.. Top 3 Priorities for This Role. 1. Phone Answering & Scheduling. Ensure all patient calls are answered promptly and appointments are scheduled efficiently. This is the top priority of the role.. 2. Calendar Management. Own and organize the provider’s calendar, delivering a clear and detailed daily schedule every evening.. 3. Organization & Reliability. Demonstrate exceptional organization, consistent availability, proactiveness, and dependability—someone who takes initiative and can be trusted to manage responsibilities independently.. Strong technology skills and comfort using digital systems. Ability to work with Spruce (VoIP system). Familitary with Tebra EHR. Reliable internet connection and equipment. Backup Wi-Fi and power solutions are required due to possible disruptions (e.g., typhoons in the Philippines). Experience Requirements. Medical education/degree: Preferably experienced with healthcare/medical practice. Previous virtual assistant experience: Background with international or US-based companies is a plus. Experience with administrative tasks in a clinical setting. No medical degree or license required, but knowledge of insurance processes and prior authorization.. Basic Requirements. Excellent spoken and written English. Relevant work experience. Ability to submit NBI Clearance and/or Local Police Clearance before onboarding (mandatory).
