We’re looking for a . Yacht Charter Executive Assistant.. You’re highly organized, detail-oriented, and excited to take on responsibility from day one. You thrive in a fast-paced, remote environment and want to build a long-term career in luxury yacht charter.. You will work closely with Trish and the Ocean Getaways charter operations team, supporting direct charter clients, Travel Advisors, and industry partners throughout the full charter lifecycle—from initial inquiry through post-charter follow-up. In this role, you will:. 🛥 Assist with incoming charter inquiries, client correspondence, and booking logistics. 🛥 Support servicing of UHNW clients, Travel Advisors, and Incentive Planners pre- and post-charter. 🛥 Coordinate with yacht captains, crew, central agents, managers, and vendors to ensure seamless charter execution. 🛥 Prepare and draft charter contracts and supporting documentation. 🛥 Maintain organized electronic client, yacht, and charter files. 🛥 Enter and maintain inquiries, bookings, contacts, and charter progress in Zoho CRM. 🛥 Assist in managing calendars, deadlines, and charter timelines. 🛥 Research destinations and yachts and prepare client-appropriate descriptions, imagery, and comparison data. 🛥 Support preparation of bespoke itineraries, presentations, and marketing content. 🛥 Assist with internal reporting, travel arrangements, and general administrative tasks. Working hours:. Minimum 40 hours per week, aligned with 6:00 AM – 2:00 PM EST/EDT, with some flexibility for time-sensitive charter activities.. To excel in this role, you need:. ✅ 2 plus years of experience as a Yacht Charter Executive Assistant or similar. ✅ Experience working remotely for an International or US Based Business. . ✅ Have valid passport and be willing to travel internationally one - two times per year for a week.. ✅ Exceptional written English with professional client communications. ✅ Strong organizational and time-management skills, managing multiple charters and priorities. ✅ High attention to detail and accuracy for contracts, itineraries, and client preferences. ✅ Sound judgment and discretion with UHNW client information. ✅ Confidence communicating with clients, Travel Advisors, yacht crew, and partners. ✅ Familiarity with CRM systems (Zoho preferred), Microsoft Office, and Canva.
