Intake Coordinator. who will serve as the welcoming voice of the firm — guiding prospective clients, managing initial consultations, and ensuring a smooth and supportive intake experience from first contact to case onboarding.. Client Intake & First Impressions. · Serve as the first point of contact for prospective clients via phone, email, and web inquiries. · Conduct intake calls with empathy, professionalism, and active listening. · Gather and document accurate case details using the firm’s intake systems. · Set clear expectations regarding the consultation and onboarding process. Consultation Coordination. · Schedule consultations and manage attorney calendars efficiently. · Ensure prospects are properly qualified before booking consultations. · Send confirmations, reminders, and follow-ups to reduce no-shows. · Prepare attorneys with relevant intake summaries prior to meetings. Client Experience & Follow-Up. · Maintain warm, timely communication with prospective clients. · Follow up with leads who have not yet retained the firm. · Address general inquiries and direct clients to appropriate team members. · Ensure a seamless handoff to the legal team after retention. Administrative Support. · Maintain accurate records in the firm’s CRM and case management systems. · Track intake metrics and assist with reporting (conversion rates, lead sources, etc.). · Support process improvements for intake workflows and client onboarding. · Uphold confidentiality and compliance with firm policies and ethical standards. · Prior experience in legal intake, client services, sales, or customer success preferred. · Strong interpersonal and communication skills (written and verbal). · High emotional intelligence and ability to handle sensitive conversations. · Exceptional organizational skills and attention to detail. · Comfortable using CRMs, scheduling tools, and case management software. · Ability to multitask and stay composed in a fast-paced environment.
