The Customer/Client Relations Specialist (CRS) serves as the primary point of contact for clients, Personal Support Workers (PSWs), and nurses within a 24/7 home care agency environment. This role is responsible for managing inbound and outbound communications, coordinating schedules, handling call-offs and visit changes, supporting intake processes, and ensuring accurate and timely documentation. The CRS works closely with Care Managers and Scheduling Managers to ensure continuity of care, timely coverage of visits, and effective resolution of client and staff concerns.. Key Responsibilities. Inbound Call Management. Answer inbound calls from clients regarding PSW or nurse schedules, visit confirmations, and general service inquiries.. Respond to calls from PSWs and nurses related to scheduling questions and shift confirmations.. Receive and document call-ins from PSWs and nurses reporting absences, delays, or emergencies.. Handle client requests for visit cancellations, rescheduling, or changes in care.. Respond to inquiries from PSW and nurse applicants, providing initial guidance and information.. Manage intake calls from potential clients seeking information about home care services.. Outbound Call Management. Conduct outbound calls to PSWs and nurses who are late, unresponsive, or require schedule confirmation.. Notify clients of visit updates, including delays, cancellations, or reassigned coverage.. Return voicemail messages promptly and professionally, following established response-time standards.. Scheduling & Coverage Support. Offer and assign open visits or shifts to available PSWs and nurses based on qualifications, availability, and client needs.. Coordinate closely with Scheduling Managers to ensure open visits are covered in a timely manner.. Assist in maintaining continuity of care by proactively addressing coverage gaps and last-minute changes.. Documentation & Internal Communication. Maintain complete, accurate, and concise documentation of all interactions in client and employee records.. Document call-offs, schedule changes, escalations, and resolutions according to agency standards.. Communicate urgent concerns, escalations, or critical issues to Care Managers and Scheduling Managers as appropriate.. Intake & Email Management. Monitor, review, and respond to email inquiries and intake submissions.. Conduct outbound calls and email follow-ups with potential clients generated from intake leads.. Ensure all intake information is accurately documented and routed to the appropriate department for follow-up.. Qualifications & Skills. Strong verbal and written communication skills with professional phone etiquette.. Ability to manage high call volumes in a fast-paced healthcare or home care environment.. Excellent organizational and documentation skills with strong attention to detail.. Ability to multitask, prioritize urgent matters, and remain calm under pressure..
