The client is looking for a highly organized and proactive Receptionist with Paralegal experience to join their law firm. This hybrid role combines front-of-house reception duties with hands-on legal support, ensuring smooth client management, accurate documentation, and effective communication across the firm.. The ideal candidate will be detail-oriented, able to manage multiple priorities, and capable of taking ownership of client interactions from initial contact to follow-up, allowing the principal lawyer to focus on delivering high-quality legal services.. RESPONSIBILITIES:. Reception & Client Management. Serve as the first point of contact for clients, answering calls and emails professionally.. Schedule client meetings efficiently using the firm’s retainer system, without requiring the principal lawyer to take the call directly.. Qualify potential new clients to assess if they meet the firm’s criteria for engagement.. Maintain accurate client records and follow-up schedules.. Paralegal Support. Draft Wills, contracts, and other legal documents primarily in Wills & Estates.. Manage client communication regarding document updates, queries, and follow-ups.. Financial Administration. Generate and issue invoices accurately and timely.. Collect payments and manage debtor follow-ups, ensuring outstanding invoices are addressed promptly.. Tools & Systems. Proficient in using Smoke Ball and Calendly. . Schedule and manage appointments.. QUALIFICATIONS:. 3-5 years of proven experience as a law firm receptionist or administrative professional with paralegal duties.. Proficiency in conveyancing platforms, including Smokeball, LEAP, or equivalent tools.. Strong knowledge of Wills & Estates processes; conveyancing experience is highly preferred.. Exceptional attention to detail and ability to handle sensitive legal information confidentially.. Excellent communication skills, both written and verbal..
