We’re looking for a sharp, detail-oriented Administrative Assistant who can juggle scheduling, customer service, light project coordination, and lead follow-ups. This role is ideal for someone who thrives in a fast-paced construction/renovation environment, communicates clearly, asks the right questions, and can work with tools like Google Sheets and Jobber. Experience using ChatGPT to enhance productivity is highly preferred.. Key Responsibilities:. . Manage daily administrative tasks to support project flow and internal operations. . Schedule appointments and project timelines with clients and contractors. . Communicate with leads and clients via phone, chat, and email. . Follow up on inquiries, proposals, and leads to maximize conversion. . Use ChatGPT (or other AI tools) to generate quick email drafts, templates, and documentation. . Maintain project data and documentation in Google Docs, Sheets, and internal systems. . Assist with light project management tasks – ensuring updates are recorded and clients are informed. . Use Jobber or similar CRM/project management software for workflow tracking. . Identify potential gaps or issues and escalate them as needed. . Act as a point of contact between clients, suppliers, and the internal team. . Ideal Candidate Profile:. . Strong administrative or customer service background (construction/home services industry highly preferred). . Very comfortable in using Google Workspace (Docs, Sheets, Calendar). . Familiar with Jobber or similar field service/project management software. . Experience using ChatGPT or AI tools to boost efficiency is highly preferred. . Strong written and verbal English communication skills. . Confident in making phone calls and conducting lead follow-ups. . Organized, detail-oriented, and proactive. .
