Role Overview: We are seeking a highly proactive and resourceful Executive Assistant to provide comprehensive support to a very busy CEO. This role requires someone who takes initiative, anticipates needs, and acts without waiting for detailed instructions. The ideal candidate is organized, detail-oriented, and thrives in a fast-paced environment where priorities can shift quickly.. You will play a key role in ensuring the CEO’s time is optimized, meetings are well-prepared, and communication flows smoothly across all levels of the organization. In doing so, there will often be times when you are on zoom with the CEO for long periods if you are working on a project together. . Key Responsibilities: . Manage and maintain the CEO’s calendar, appointments, and travel arrangements.. Anticipate the CEO’s needs and proactively provide support before being asked.. Prepare meeting materials, agendas, and follow-up action items.. Handle confidential information with the highest level of discretion.. Draft and manage correspondence, reports, and presentations on behalf of the CEO.. Coordinate and communicate with internal teams, clients, and external partners.. Track key deadlines, priorities, and deliverables to ensure nothing falls through the cracks. Track and manage the CRM - ensure that it is reviewed each day and clients are being attended to. Create systems and processes for the business (note that the business is a startup and this has not been achieved yet).. Create templates for the sales process and streamline how the business manages these processes. Work with other team members to prepare for events, conferences and speaking events for the CEO. Identify opportunities to streamline operations and improve workflow.. Take ownership of special projects and execute them with minimal supervision.. Required Skills and Qualifications:. At least 3–5 years of experience supporting a senior executive, preferably in a fast-paced or high-growth environment.. Exceptional organizational and time management skills.. Strong written and verbal communication abilities.. High degree of professionalism and confidentiality.. Proactive problem solver who takes initiative and works independently.. Comfortable managing multiple priorities simultaneously.. Proven ability to oversee company projects and ensure timely execution.. Proficiency with productivity and project management tools (e.g., Google Workspace, MS Office, Slack, Trello, Canva, clockify, ).. Work Arrangement & Expectations:. This is a remote role that will be set up as an independent contractor engagement.. To ensure alignment and transparency, successful candidates will be expected to:.
