Priority Responsibilities. ● Calendar Management: Schedule client meetings, internal calls, and timely follow-ups.. ● Inbox Management: Filter, organize, and respond to routine emails with professionalism and discretion.. ● Appointment Reminders: Send confirmations and follow-ups to minimize no-shows.. ● Special Occasion Messaging: Send personalized birthday and anniversary messages to enhance retention.. ● Making Outbound Calls: Schedule follow-up meetings with clients and leads.. ● Market Outlook Summary Emails: Prepare and distribute concise market updates.. ● Report Generation: Prepare performance reports, quarterly summaries, and investment reviews.. ● Lead Tracking: Track new prospects, follow-up stages, and update lead pipeline activity.. Potential future task. ● Set Michael up on Calendly: Implement streamlined scheduling and availability management.. Core Administrative Tasks. ● CRM Updates: Maintain accurate and timely records of client interactions, contact info, and notes (Salesforce).. ● Data Entry: Input account details, manage compliance forms, and update portfolio-related data.. ● Document Preparation: Draft meeting summaries, investment proposals, and client paperwork.
