Mission of Role/Position Summary:. The . Associate Project Coordinator (Associate PC). is responsible for coordinating projects across all ACDC Divisions while ensuring Project Management Office (PMO) standards, systems, and frameworks are consistently applied. This role supports Project Managers throughout the project lifecycle and plays a critical role in compliance, quality assurance, project health monitoring, and continuous improvement initiatives across the organization.. Tasks, Duties, and Responsibilities:. Reasonable accommodation will be made to enable individuals with disabilities to perform the following essential functions:. Project Coordination & PMO Compliance. Coordinate projects across all Divisions, enforcing PM framework compliance metrics, including: . Project hand-off, kick-off, and close-out meetings. Preparation and distribution of required project materials. Contract compliance monitoring. Budget tracking and invoice review. Additional PM framework requirements as identified. Facilitate routine Project Manager check-ins to assess and address overall project health, including budget, scope, schedule, engagement, staffing resources, and quality. Project Systems & Tracking. Administer ACDC’s project and business management systems (e.g., Productive) throughout all project phases. Monitor project health and mitigate risks using PM systems, including: . Resource allocations. Project and budget setup. Status reports, dashboards, and updates. Support 50% billable project work as a project resource, with allocation type varying based on project needs. Quality & Client Support. Support quality assurance initiatives through: . Client-facing support and engagement. Capturing quarterly or as-needed client feedback. Facilitating mid-incident hotwash sessions and close-out retrospectives. Ensure documentation accuracy, completeness, and adherence to PMO quality standards. PMO Development & Continuous Improvement. Build, maintain, and coordinate PMO libraries, tools, templates, and processes across systems. Oversee document version control and ensure repository standards are followed. Train Project Managers and relevant Divisions on PMO updates, tools, and processes. Lead or support process mapping and continuous improvement initiatives contributing to the growth and maturation of ACDC’s PMO. Bring creativity, technical skill, and subject matter expertise to the development and integration of project management practices.  . Knowledge, Skills, and Abilities:. . Clear working knowledge of PMI principles with 1–2 years of professional application. Strong understanding of PMO operations, project coordination, and project lifecycle management. Exceptional problem-solving and critical decision-making abilities. Excellent verbal and written communication skills, including the ability to present complex information to diverse audiences. Meticulous organizational and task management skills. Demonstrated ability to work effectively in complex, fast-paced, metrics-driven environments. Flexibility to work across time zones; experience scheduling and coordinating between regions. Collaborative team-oriented mindset with enthusiasm for ACDC’s mission and values. Expected Hours of Work:. Schedule may vary. Work on evenings and weekends may be required. Dependability and punctuality are paramount.. Travel Requirements:. Up to 50% travel is expected for this position.. Must be willing to travel and deploy to client sites for extended periods of time.. Physical Demands:. Mobility required on-site with clients.. Sitting or standing for hours at a time.. Ability to work at a computer for extended periods of time if needed.. Ability to manipulate up to 15 lbs. repetitively throughout the day and as needed.. Working Environment:. Emergency management personnel may work in an office or home environment or be deployed to the field which may require working outdoors in adverse weather conditions.. Work may be on-site with clients ex: EOC, hospital, debris sites or local government buildings.. All AC Disaster Consulting (ACDC) positions are remote work site positions with the home location agreed upon at time of hire.. If the remote work site locations change, ACDC Human Resources must be made aware, and leadership needs to approve any site changes for business registration and payroll tax purposes.. Experience/Education Required:. Bachelor’s degree in Project Management, Business Administration or related field. . 1+ years of experience in PMO operations, project coordination, or project analysis.. 2+ years of experience operating project management or business systems such as Productive, Salesforce, Monday.com, Atlassian, or similar platforms . Experience/Education Preferred:. Disaster recovery or emergency management industry experience. Familiarity with multi-sector service delivery, including government and private-sector clients. Understanding of Agile methodologies, tools, and techniques. Experience integrating new software into organizational workflows. Proven ability to train, coach, and present in public or group settings. Additional Qualifications:. Must be 18 years of age or older..
