The Healthcare Provider Relations & Scheduling Specialist plays a mission-critical role in ensuring patients gain timely and affordable access to life-saving medications. This position is responsible for coordinating with U.S.-based physician offices and pharmacists to facilitate the execution of Collaborative Practice Agreements (CPAs) and schedule patient-pharmacist consultations at partner hospitals.. This is a high-volume outreach and coordination role that requires confident communication with medical providers, structured follow-ups, and meticulous CRM documentation. The ideal candidate thrives in process-driven environments, works independently, and maintains persistence when navigating provider office workflows.. Your Impact:. In this role, you will directly support patient access to essential medications by ensuring Collaborative Practice Agreements are secured efficiently and consultations are scheduled without delay. . Your work will:. Increase CPA completion rates through structured and consistent outreach . Reduce scheduling turnaround times between providers, pharmacists, and patients . Improve CRM accuracy and operational visibility for the U.S. team . Strengthen collaboration between physician offices and pharmacy partners . Support scalable healthcare coordination processes across multiple facilities. Core Responsibilities. Collaborative Practice Agreement (CPA) Outreach – 50%. Initiate outreach to physician offices via phone, email, and fax to facilitate CPA execution. . Clearly explain the purpose, workflow, and compliance requirements of CPAs to office staff. . Conduct structured follow-ups over multiple days or weeks until agreements are signed and returned. . Document all outreach activities, responses, and outcomes accurately within the CRM. . Escalate unresponsive or rejecting providers to U.S.-based escalation staff as needed. . Patient Scheduling Coordination – 30%. Schedule patient consultations with pharmacists once CPAs are secured. . Coordinate availability between patients and pharmacy partners. . Confirm appointments and ensure all required documentation is complete. . Maintain clear communication with stakeholders to avoid delays or missed appointments. . Data Management & Reporting – 20%. Maintain clean, accurate, and up-to-date CRM records. . Track outreach status, signed agreements, scheduling completions, and escalations. . Prepare and submit weekly progress updates to the operations team. . Identify documentation gaps and ensure compliance with internal SOPs.. Must-Haves (Required). 1–2+ years of experience working with U.S. healthcare systems. . Experience in provider office workflows, medical coordination, scheduling, or healthcare administration. . Strong verbal and written English communication skills. . Comfortable communicating daily with physicians, office managers, and front desk staff. . Experience conducting structured follow-ups in high-volume outreach roles. . Familiarity with CRM systems and spreadsheet tools. . Ability to work Eastern Time hours consistently. . Strong attention to detail and documentation accuracy.. Nice-to-Haves (Preferred). Experience supporting Collaborative Practice Agreements (CPAs) or similar healthcare compliance workflows. . Experience working with pharmacists or hospital-based programs. . Exposure to multi-facility coordination or healthcare program scaling. . Experience in remote roles supporting U.S.-based teams..
