We’re seeking a detail-driven and client-focused Intake Coordinator to join a fast-growing U.S.-based law firm. In this role, you’ll be the first point of contact for new clients, guiding them through the intake process with professionalism and care. You’ll collect and verify essential information, manage documentation, and coordinate case handoffs to ensure every file is complete and accurate. This is a role where your precision, empathy, and reliability directly impact client trust and case success.. Core Responsibilities. . Serve as the primary contact for new client inquiries, ensuring fast and professional responses.. . . Collect, verify, and document client information with absolute accuracy.. . . Ensure intake forms and all required documentation are completed before case setup.. . . Enter data into client systems with zero errors and consistent formatting.. . . Schedule consultations with case managers or attorneys and confirm with clients.. . . Provide clear next steps to clients, reducing confusion and improving conversion rates.. . . Track pending intakes and follow up proactively to minimize delays.. . . Maintain confidentiality and compliance with client and regulatory requirements at all times.. . . Contribute to workflow consistency by following established processes and suggesting improvements.. . . Partner with teammates to support smooth case handoffs and maintain client satisfaction.. .  . Must-Haves for the Role. . Minimum 2 years of experience in intake coordination, client services, or administrative support.. . . Proven ability to communicate fluently in English (verbal and written) at a professional level.. . . Strong organizational skills with the ability to manage multiple intakes simultaneously.. . . High attention to detail and accuracy when handling sensitive data and documents.. . . Proficiency with Microsoft Office, Google Workspace, and CRM or case management systems.. . . Demonstrated ability to handle confidential information with discretion and professionalism.. . . Reliable wired internet connection (25 Mbps+) with a tested backup option.. . .
