This role combines financial administration with project coordination in a fast-paced residential construction environment. The Accounts Payable and Project Coordinator will manage vendor invoices, payroll, and expense tracking, while supporting project teams to maintain accurate budgets and records. You will ensure smooth communication with subcontractors and vendors, verifying compliance and facilitating timely payments. The position requires a detail-oriented, organized professional capable of balancing multiple responsibilities, using digital tools to streamline workflows. Remote collaboration with a distributed team is key, and your work will directly contribute to the efficiency, accuracy, and financial health of the projects.. Accountabilities. . Enter and reconcile vendor and subcontractor invoices into accounting and project management systems (Buildertrend, QuickBooks).. . Verify purchase orders and match them to invoices, maintaining accurate project expense tracking.. . Manage subcontractor compliance including W9s, COIs, and lien waivers.. . Prepare weekly accounts payable reports and organize payment runs (bill pay, ACH).. . Run biweekly payroll for salaried and hourly employees and track PTO, timesheets, and project labor costs.. . Support project teams with Buildertrend setup, data entry, and budget management.. . Communicate effectively with vendors and internal teams to resolve documentation or payment issues.. . . Proficiency in Buildertrend, QuickBooks Online, Paychex Flex (or similar), online banking portals, and Google Workspace (Sheets, Docs, Gmail, Drive).. . Strong organizational and multitasking skills with exceptional attention to detail.. . Ability to work independently in a remote setup while maintaining accurate financial records.. .
