Virtual Assistant (Operations & Sales) at Elevate and Delegate. Our client is a fast-growing cleaning business in Pittsburgh, PA, providing deep cleaning, move-in/move-out, and recurring cleaning services. They are in a critical growth phase and building out systems to scale efficiently.. They are now looking to hire a second full-time VA to focus on cleaner recruitment, coordination, lead generation, sales, and recurring-client growth as we prepare to double our operations over the next few months.. Responsibilities. Cleaner Recruitment. Own the full recruitment process — posting, screening, onboarding, and maintaining a reliable cleaner roster. Use hiring platforms and local groups to attract qualified candidates. Coordinate test cleanings, collect documentation, and ensure quality standards. Maintain a steady pipeline to support company growth and client demand. Operations Support. Manage and update cleaning schedules in Booking Koala for deep, move-in/move-out, and recurring cleanings. Monitor calendars to ensure all jobs are assigned, confirmed, and completed on time. Communicate with cleaners and customers to confirm schedules, handle changes, and resolve issues professionally. Keep accurate records of job statuses, cleaner assignments, and customer updates. Team Collaboration. Work closely with our current VA to share responsibilities and maintain full operational coverage. Stay aligned on scheduling, recruitment, and customer communication. Collaborate daily to ensure consistency, speed, and quality as we work to double operations in the next few months. Sales & Customer Communication. Respond promptly to calls, emails, and chats from prospective and existing customers. Provide quotes, explain services, and confidently close new bookings. Follow up with one-time clients to encourage recurring cleanings. Proactively generate new leads through outreach and follow-ups. Request and collect customer reviews after cleanings to help grow our reputation. Communicate with warmth, professionalism, and urgency. Administrative Tasks. Maintain accurate client and cleaner data across tools and spreadsheets. Create and manage recurring client profiles in Booking Koala. Keep digital files and forms organized for smooth daily operations. Assist with reports and workflow improvements to support efficiency and growth. Minimum 2 years of experience in a virtual assistant, operations, or customer service role. Proven background in customer communication and issue resolution. Confident handling both operations and sales, including cleaner coordination and scheduling. Highly organized and comfortable using multiple systems (Booking Koala, Google Workspace, CRMs). Proactive, dependable, and able to manage tasks with minimal supervision. Reliable high-speed internet and a stable computer setup. Thrives in a multitasking environment. Understands the nuances of scheduling, coordination, and daily operations. Speaks confidently with customers and closes new bookings. Collaborates well with remote teams and adapts quickly. Takes initiative, follows through, and owns their work. Excellent English communication skills (written and verbal). Preferred Qualities. Bilingual (English/Spanish) – especially valuable for applicants based in Mexico or Latin America. Experience recruiting or coordinating field teams or contractors. Quick learner who is systems-oriented and adaptable. Previous experience in a cleaning business or service-based business is preferred. Company Location: Mexico.
