The Operations Associate plays a key role in supporting the effective, accurate, and compliant day-to-day operation of Releaf’s business activities. Reporting to the Supply Chain Lead, this role focuses on inventory control, operational coordination, supplier communication, and reporting.. Operating in a fast-paced and regulated environment, the Operations Associate must be highly organised, detail-oriented, and proactive. While the role is primarily remote, it includes occasional travel to supplier sites and London to support operational alignment, supplier relationships, and cross-functional collaboration.. Key Responsibilities. Operational Coordination & Planning. Manage competing operational priorities, ensuring tasks are completed accurately and within agreed timeframes. Maintain structured planning and scheduling to support smooth operational delivery. Proactively identify potential operational risks, escalating issues and supporting timely resolution. Support continuous improvement by identifying opportunities to improve processes and workflows, while balancing urgent and ad hoc operational tasks. Stock & Inventory Control. Manage internal stock movements, including the creation and tracking of Purchase Orders (POs) and Clinical Needs Letters (CNLs). Ensure all stock movements are accurately recorded, reconciled, and maintained across systems and Excel based trackers. Track consumables and ensure Pharmacy and Shop locations remain up to date with stock levels. Monitor stock levels against agreed baselines and proactively flag potential shortages. Cross-Functional Collaboration. Hold regular operational check ins with Pharmacy and Shop teams to ensure alignment and resolve issues. Work closely with Marketing to ensure product information and materials are accurate, current, and aligned with available stock. Supplier Relationships. Build and maintain professional working relationships with external suppliers. Liaise with suppliers to support stock availability, timely deliveries, and continuity of supply. Provide suppliers with accurate and timely operational and sales data. Reporting & Data Accuracy. Prepare and distribute monthly sales to suppliers. Ensure all reporting is accurate, consistent, and delivered within agreed deadlines. Maintain high standards of data accuracy and record keeping across all operational documentation. Compliance & Environment. Operate within a regulated, audit ready environment, following defined processes and controls. Maintain accurate documentation and escalate compliance related issues appropriately. Skills & Competencies. Excellent organisational, time management, and prioritisation skills. Strong attention to detail and commitment to data accuracy. Proactive, solutions-focused mindset. Strong written and verbal communication skills. Confidence working with operational data, stock figures, and reports. Excel skills, including formulas, reconciliations, and structured reporting. Ability to remain calm and effective in a fast-paced environment. Experience & Qualifications. 1–3 years’ experience in an operations, supply chain, logistics, or administrative role. Experience managing stock, inventory, or supplier data (desirable). Experience working in a regulated or compliance-focused environment (desirable).
