The Systems & Platforms Coordinator plays a critical role in ensuring SmartStay’s digital infrastructure runs smoothly, efficiently, and accurately across all departments. Working closely with the Head of Systems & Platforms, this role focuses on system optimisation, automation development, OTA listing management, compliance monitoring, and maintaining data integrity across every integrated tool in the SmartStay ecosystem.. Accountable for:. OTA listing quality, accuracy, performance, and compliance across all platforms (Airbnb, Booking.com, Expedia). Daily system monitoring and ensuring platform synchronisation across PMS, Breezeway, Conduit, Zapier, and other workflow tools. Automation health and error reporting, including log checks and escalation of system issues. Execution, documentation, and maintenance of digital workflows, SOP updates, and process guidelines. Weekly reporting on OTA metrics, automation uptime, system errors, and performance insights for the Head of Systems & Platforms. HostAI autopilot quality checks, tagging, and improvement recommendations. AirCover and damage claims coordination (evidence collection, tracking, escalation support). Ensuring SmartStay’s brand consistency across all OTA listings and platform touchpoints. Maintaining accurate digital records, version control, and up-to-date listing data. Key Responsibilities:. Maintain accurate, complete, and compliant OTA listings across Airbnb, Booking.com, and Expedia. Conduct weekly full OTA audits for errors, missing data, mapping issues, or unapproved edits. Ensure brand-consistent descriptions, titles, tone, amenities, and photo order across all platforms. Monitor OTA search visibility, listing ranking, conversion trends, and policy warnings. Execute A/B tests for titles, descriptions, and photos and track performance outcomes. Coordinate with Operations to confirm listings reflect real-time property conditions. Ensure all license numbers, DTCM data, amenities, and policies are correct and synced. Review daily OTA alerts, content flags, or system messages and take corrective action. Perform daily log checks for HostAway, Breezeway, Conduit, Zapier, and integrated platforms. Identify system errors, task duplication, missing syncs, and misconfigured automation flows. Perform QA tests on new automations and ensure they function as intended. Maintain a structured log of issues, recurring patterns, and improvement recommendations. Support automation cleanup and optimisation by flagging manual processes that should be automated. Prepare weekly dashboards covering:. OTA performance (visibility, clicks, conversions). Automation uptime. System errors and issue resolution trends. A/B test results. Review uplift tracking. Ensure all data is accurate, timely, and aligned with business KPIs. Provide insights that support strategic decision-making. Collect and organise evidence for claims (photos, videos, receipts, logs). Document outcomes and flag recurring loss patterns. Maintain a centralized claims tracker. Provide recommendations to reduce future incidents. Required Skills & Qualifications:. Core Platform & OTA Expertise. Hands-on experience managing Airbnb, Booking.com, and Expedia listings at scale. Strong understanding of OTA policies, compliance requirements, and content standards. Proven ability to audit listings for accuracy, sync issues, missing data, and policy risks. Experience maintaining brand consistency across titles, descriptions, amenities, and photos. Systems, Automation & Integrations. Working knowledge of property management and operations platforms such as HostAway, Breezeway, Conduit, Zapier, or similar tools. Experience monitoring system health, automation logs, and integrations. Ability to identify automation failures, task duplication, broken syncs, and configuration issues. Comfortable QA-testing automations and supporting workflow optimisation. Data Accuracy & Quality Control. Exceptional attention to detail with a strong QA mindset. Proven ability to maintain accurate, compliant, and up-to-date data across multiple systems. Confident managing structured records, documentation, and version control. Reporting & Performance Monitoring. Experience preparing regular reports or dashboards covering:. OTA performance (visibility, clicks, conversions). System uptime and error trends. A/B testing results and review performance. Ability to turn data into clear insights and recommendations aligned with business KPIs. Compliance, Risk & Claims Support. Familiarity with AirCover or damage claims workflows, including evidence collection and tracking. Understanding of licensing, DTCM data, and short-term rental compliance requirements. Detail-oriented approach to risk tracking and loss prevention. Process & Documentation. Experience maintaining and updating SOPs, workflows, and system documentation. Comfortable working in structured processes while identifying gaps and improvements. Collaboration & Communication. Strong written and verbal communication skills. Ability to work cross-functionally with Operations, Guest Experience, and Systems teams. Confident escalating issues and providing structured updates and insights. Compensation & Benefits.
