Operations Assistant. Were looking for an organized, proactive, and resourceful Operations Assistant to support Boldly Gos internal operations. This role reports to the Operations Manager and plays a key part in keeping our internal systems, tools, and processes running smoothly. The Operations Assistant will help strengthen our HR processes, knowledge management, and overall operational infrastructure as we continue to grow.. Responsibilities. Human Resources & Team Support. Support recruitment processes, including drafting job descriptions, posting jobs, coordinating interviews, and managing candidate communications.. Assist with employee onboarding and off-boarding processes, ensuring materials and systems access are up to date.. Maintain employee records and assist with professional development processes, benefits enrollment, and other HR documentation and systems.. Help coordinate staff engagement activities and firm-wide communications.. Knowledge Management & Systems. Keep our internal systems (like SharePoint, Asana, and other tools) organized and up to date.. Maintain shared documents, templates, and resources so information is easy to find and consistent across teams.. Help document and refine internal procedures and tools.. Research new tools and test ways to make our internal systems even more efficient and user-friendly.. Operations & Administration. Provide administrative support to the Operations Manager and the team across key firm processes and projects.. Support vendor management, including tracking invoices, subscriptions, and contracts.. Manage software licenses, user access, and coordination with IT providers to ensure tools and systems run smoothly.. Maintain and improve internal documentation related to firm policies, operations manuals, and workflows.. Draft and distribute internal communications such as announcements, updates, and newsletters to keep the team informed and connected. Help coordinate internal meetings and logistics, including scheduling and note-taking.. Assist with other operations projects as needed.. Qualifications. Passion for social change, and clear interest in working in the social sector and in philanthropy;. 24 years of relevant work experience in roles such as project coordinator, operations assistant, administrative assistant, HR coordinator or similar, preferably in the nonprofit, philanthropy, or social sectors;. Strong organizational and project coordination skills, with keen attention to detail and accuracy and ability to manage multiple priorities;. Savvy and skilled in managing, learning, and navigating software platforms required, familiarity with project management (Asana), CRM and HR/Recruitment software is preferred;. Strong written and verbal communication skills, including the ability to produce polished documents and correspondence;. A team player who enjoys supporting others and improving how things work. Demonstrated ability to handle sensitive and confidential information with discretion.. A proactive self-starter who thrives in a remote work environment..
