As the operational engine of our team, you'll ensure all content moves efficiently from concept to publication. This role combines in-depth program management experience with meticulous documentation skills and a keen understanding of how content flows through the approval process. You'll design sophisticated workflows, orchestrate content calendars, direct approval processes, and oversee publishing across platforms while masterfully connecting cross-functional teams.  You’ll act as equal parts documenter, wrangler, optimizer, and systems thinker. At the same time, you'll partner with strategists to bring content and campaigns to life, refine workflows, and build the AI-led infrastructure that powers our fast-moving content program. Build and maintain content approval workflows – . Create templates and processes that streamline stakeholder reviews, reduce revision cycles, maintain version control, and accelerate feedback loops for different content types. Manage our tech stack comprehensively – . Oversee the configuration and integration of Sprout Social, HubSpot, Asana, asset libraries, and AI tools, ensuring proper user permissions, vendor relationship management, and regular system updates. Run the editorial calendar with precision – . Maintain a master publishing schedule across platforms, ensuring proper content categorization, tagging, and asset management while adjusting for time-sensitive opportunities. Own the complete publishing lifecycle – . Take full responsibility for the review process, scheduling, platform-specific tagging, and final publishing of all social content across channels, ensuring nothing goes live without proper approvals and optimization. Coordinate across teams effectively – . Lead weekly content planning meetings, send clear recap emails, document decisions, identify bottlenecks, and maintain momentum by communicating proactively with stakeholders (brand, creative, comms, creators). Serve as the central coordination hub – . Act as the primary liaison between content creators, leadership, brand teams, and external partners, proactively managing relationships, resolving conflicts, and ensuring all parties remain aligned on priorities and deadlines. Take detailed meeting notes and follow up – . Capture action items, decisions, and timelines (using AI tools when appropriate), distribute clear summaries, and ensure accountability for next steps. Centralize information management – . Create and maintain a single source of truth for content briefs, feedback status, asset locations, and approval tracking that reduces confusion and provides visibility. Guide content through multi-stage approval workflows – . Coordinate and manage stakeholder review cycles, track feedback implementation, facilitate final approvals, and schedule content across platforms while ensuring quality control and consistent delivery. Implement AI to enhance efficiency – . Research and integrate AI tools for caption assistance, meeting transcription, action item tracking, scheduling optimization, and workflow automation. 🧠 Requirements:. 5+ years managing social media operations, editorial calendars, or digital content workflows, either in-house or at an agency. Demonstrated success running multi-platform content publishing schedules with consistent quality control. Hands-on experience with Sprout Social (or similar enterprise social publishing platforms), including workflow configuration, approval routing, and dashboard customization. Deep platform expertise in social media/ content best practices and audience behaviors. Proficiency in Asana (or similar project management tools), including creating templates, managing dependencies, tracking progress, and reporting on project status. Familiarity with AI tools (ChatGPT, Claude) for content workflow enhancement and operational efficiency. Exceptional attention to detail in written communication with the ability to create clear process documentation, meeting summaries, and actionable task assignments. Proven ability to coordinate cross-functional teams, manage stakeholder expectations, and navigate competing priorities. Experience implementing content review and approval processes across multiple departments and executive levels. Background in fast-paced agency, creative studio, or in-house brand environments where flexibility and systems thinking are equally valued. The cash compensation below includes base salary, on-target commission for employees in eligible roles, and annual bonus targets under HubSpot’s bonus plan for eligible roles.
